Email marketing is the process of sending out commercial messages to a group of people via email. It is a form of direct marketing that allows businesses to communicate with their customers and prospects using electronic mail.
Email marketing can be used to build relationships with customers and prospects, promote products and services, or simply keep customers up-to-date on what is happening with your business.
When done correctly, email marketing can be an extremely effective way to reach your target audience and increase sales.
There are a number of different ways to carry out email marketing, but the most common method is to use an email newsletter, which we will explain later.
4 Types of Popular Email Marketing Campaigns
Email marketing can be a great way to reach out to potential and current customers.
It can be used to promote sales, new products, or simply to keep your customers updated on what’s going on with your business.
There are many different types of email marketing campaigns that you can use, and each has its own benefits.
The four most popular types of email marketing campaigns, besides your regular newsletter emails are:
Prospecting Email Campaigns
The first type of email marketing campaign is the prospecting email campaign. Prospecting email campaigns are sent to your leads who have not bought from you yet.
They exist to introduce a new lead to your product or service.
Prospecting emails are also sometimes referred to as ‘cold emails’, and can be sent out as group emails using email software, or sent out individually to try and connect directly with leads who have yet to purchase.
Prospecting email campaigns should:
- Be sent to a segmented list of non purchasers, or sent individually
- Include a personalized message with a compelling reason for contacting them
- Share with the recipients the benefits of your product or service
- Offer a discount or free trial to encourage conversion
- Include a call to action – (what the prospect should do next)
Here is an example of a prospecting email:
Subject line examples: New Regulations – Save businesses money, let us show you how! Or New Regulations – Eliminate CC processing fees!
Email copy example:
Hi (Prospects Name),
The reason we are reaching out to you today is because we see you own a business, and we want to help you save money.
There are new regulations that are allowing local businesses to almost completely eliminate their credit card processing fees.
Here are some examples of CC processing savings we have provided businesses that have already signed up to our new program.
Restaurant: $114,625 Sales = $3,152.19 Savings
Nail Salon: $57,120 Sales = $1,570.80 Savings

To make the news even better, we are offering 100% risk-free trials with no long-term contracts and no termination fees. Additionally, our clients get top-of-the-line POS systems for free. We have square, Micros, Aloha and over 30 other POS systems available.

This is just one example of how to start a successful prospecting email campaign, of course you would write it tailored to your product or service offering, we just wanted to give you an example of how the elements should be included.
You would also want to include a few more follow ups in the campaign, after the first email, use a new subject line like: Maybe, you missed my last email?
And then tailor the follow up email copy based on that.
If you visit HubSpot, they have some really great prospecting email templates you can get your hands on for free.
Re-Engagement Email Campaigns
Re-Engagement email campaigns are sent to people who have already bought from you, but may of become inactive.
This type of email campaign is a great way to keep your customers engaged with your brand, and want to come back for more!
By regularly sending relevant and engaging emails, you can keep them up-to-date on your products and services, as well as remind them of upcoming events or special deals.
Re-engagement email campaigns can be highly successful if they are designed correctly. Make sure to target your audience, send interesting content, and include enticing offers.
Re-Engagement email campaigns should:
- Attempt to re-engage inactive customers – make use of a special offer
- Make the customer feel special
- Include content that is valuable to the recipient
- Encourage customers to share your content with others
- Be a series of 3+ emails after 30-60 days of inactivity from your subscriber. However, depending on how often you send emails. If you only send monthly newsletters then wait a little longer, like 90 days.

The last thing we want to do, is keep sending you emails that you are not interested in getting.

Email Services
There are two types of email services and are the main ways most of your employees, customers and leads will access their emails from you – client based email and web based email.
Now, as a business or marketer, we want to make you aware of how these two types of email services work, because in most cases when you are performing email marketing task, you will be sending and receiving emails using your businesses domain level email.
As most people find it beneficial to forward their email to one of these types of email services, because instead of having to log into your hosting account email all of the time, you can simply manage, read and reply to your emails directly from your favorite email service.
Client Based Email
If you’ve ever used a program like MailBird, Microsoft Outlook, Windows Live Mail, Mozilla Thunderbird or Apple Mail to manage your emails, then you’ve used an email client.
An Email Client is a software program that allows users to access their emails on their computer or device without having to log in via the web.
You then use this software to download your emails from the server directly to your computer.
In other words, in order to use an email client to access your domain emails, you will first need to install the email client software on your computer.
Once you have installed an email client, you will then need to configure it so that it knows where (ie. which mail-server) to retrieve your emails from.
Basic configurations include setting your domain email address, username, password, incoming and outgoing mail servers and ports.
An email client also allows you to manage your emails offline, because email is downloaded directly onto your computer or device.
However, you will still need an Internet connection to download the emails from the server to your computer, but once downloaded, you can access them anytime you want, even when there is no Internet connection.
You can also write emails offline and can send them to your recipients once the internet connection is stable.
Not everyone needs offline access to their email. The main advantage of using a client based email service is that you can still access your email even if you’re not connected to the internet.
This can be handy if you’re going to be somewhere where there’s no internet connection, like on a plane or in another remote location.
Advantages Of Using An Email Client:
- You have multiple email addresses with different domains, and you need the ability to manage (including read and send) emails from each one as individual addresses but do it all in one place (This eliminates having to log into each domain email address separately).
- You need offline access to your emails.
- You prefer to back up your email regularly and/or you have limited storage with your email provider. As long as you don’t specify to save a copy of the email on the mail-server, the email will no longer be kept on the mail-server, thus freeing up server space.
- You need integration with other desktop apps like Dropbox, Cloudapp, your calendar or other tools.
These days, there’s no shortage of powerful free email client software applications for all operating systems, including Windows, macOS, Linux, Android, and iOS. Each offering its own unique set of features and capabilities.
Web Based Email
Webmail is the most commonly used type of email service. Webmail can be accessed via any web browser when connected to the internet.
All emails, calendar services, and contacts are hosted on the email service provider’s online servers.
Do you have a Gmail, Hotmail, Yahoo or AOL email account, then you’ve used webmail.
The main advantage of using a web based email service is that you can access your email from any device, anywhere in the world, as long as you have an internet connection.
You don’t need to download or install any software, which can be handy if you’re using a public computer or someone else’s computer.
All you need is an internet connection and a web browser or app on your phone.
Plus, most web based email account providers are free!
And forwarding your businesses domain email to a web based email account is easy.
You can simply log into to your control panel of your hosting account, and go to email forwarders, and set this to automatically forward your email to where you prefer to read it.
Advantages Of Using A Web Based Email Account:
- No muss, no fuss, Webmail is easy, you simply sign up for an account, nothing to download.
- Much simpler to automatically forward emails from your domain hosted email account.
Keep your information safe – If you talk to an expert, they will advise you against accessing your Webmail account from a public or strange computer. As you could compromise the security of your account and information.
Webmail vs. Email Client – Which is better for business?
It all depends on your needs and preferences.
If you need to be able to access your email even when you’re not connected to the internet, then a client based email service is a good option.
Email clients are also best for people with multiple email addresses, especially on different domains. You simply cannot beat the functionality and organization of managing multiple email addresses in an email client.
An Email Client typically has better security features and far superior filtering, sorting, flagging, and tagging capabilities than webmail.
Now, If you want simplicity and have the need to be able to access your email from any device, anywhere in the world, then you should choose a web based email service
Whichever email service you choose, make sure it’s one that you’re comfortable using and that meets your needs. You may even have experience already using one of these services as an employee of a company where you have an email marketing job.

How To Build An Email List

Why do you need an email list?

By having a list of email addresses, you can reach out to your audience on a regular basis and keep them updated on what’s new with your business or brand.
Now that we’ve covered the basics, let’s get into some tips on how to build an email list.
Use a lead magnet
A lead magnet is an incentive that you offer in exchange for someone’s email address. It could be a free ebook, a course, a checklist, a discount or anything else that would be valuable to your target audience.

Run ads using call-to-action
You can use paid ads to promote your email list offer and get people to sign up.

People who attend your webinar are usually interested in what you have to say and are more likely to sign up for your email list.
You could even give away something to a few lucky people just for attending, and make that part of the lead in to the webinar to get more people to attend.
Announce the winners live to make it even more exciting.
Giveaways
Running a giveaway or contest is a great way to get people to sign up for your email list. (this is your goal!)

When people see your email signature, they’ll know that they can sign up for your email list and will be more likely to do so.
Then use the email signature with all of your regular correspondence with people, including in forums if you are part of any.
Use pop-ups
Pop-ups can be effective at getting people to sign up for your email list.
Just make sure that your pop-ups are not to intrusive and that they offer something of value in exchange for people’s email addresses.
Through the use of Plugins or certain apps and website themes one uses to create and maintain ones website, can make setting up pop-ups or slide ins easy.

Mass Email Marketing
Also known as ‘bulk email marketing’, this is a form of email marketing where businesses send a large number of emails to their email list at once.
This can be a great way to promote new products, update customers on new developments, or simply stay in touch with your audience.
There are several benefits to mass email marketing or what many refer to as sending broadcast emails:
1. It is cost effective
Email is one of the most inexpensive forms of marketing available, and most cost effective, as it builds long term loyalty.
People buy from whom they trust, like and know.
2. You can reach a large number of people
With email, you have the potential to reach a global audience quickly and easily.
3. You can track results
With email marketing software, you can track who opens your emails, who clicks on links, and more.
This helps you to gauge the effectiveness of your campaigns and make necessary adjustments.
4. It is highly targeted
You can segment your email list to target specific groups of people, making your campaigns even more effective.
Leads who have not bought from you yet, should receive different emails than what your buyers list gets.
5. You can automate email marketing
With email marketing software, you can automate many of the tasks involved in email marketing, such as sending messages, scheduling emails, and more.
This can save you a lot of time, effort and money.
6. It is a flexible tool
Email marketing is very versatile and can be used for a variety of purposes, such as promoting sales, building relationships, brand awareness and more.
7. You can increase brand awareness
By regularly sending email campaigns, you can keep your brand top of mind for your audience and customers.
There is a lot of competition online now, and the more consistent you keep your emails going out, the more your customers will buy from you and not somebody else!
8. You can generate leads
Email marketing can be used to generate customer leads for your business.
9. You can build relationships
With email marketing, you can stay in touch with your audience and build relationships with them over time. When people feel like they know you and your business, they will repeat buy, and remain loyal.
I once owned several retail stores in my town, and my best customers were always the people I got to know the best. Some of them would come in daily, just to talk to me, and they would always end up purchasing something.
10. It is a permission-based marketing tool
With email marketing, you are only emailing people who have given you permission to do so.
This means that they are more likely to be interested in what you have to say.
Email marketing is a great way to reach out to your audience and promote your products or services.
With its many benefits, it’s no wonder that email marketing is one of the most popular marketing tools available today!
When To Send Marketing Emails?
There is no single answer to the question of when email marketing emails should be sent.
The timing will vary depending on factors such as the industry, the type of email, and the goals of the email campaign.
In general, however, there are some best email marketing practices that can be followed.
For transactional emails, it is generally best to send them as soon as possible after the transaction has been completed.
This ensures that the customer has all the information they need in a timely manner.
For promotional emails, it is generally best to send them at a time when people are most likely to check their emails and act on the offer.
This will vary depending on factors such as time zones and working hours, but in general mid-week and mid-morning are often considered to be the best times to send promotional email marketing emails.
Of course, these are just general guidelines.
The best way to determine the best time to send email marketing emails is to test different times and see what works best for your particular audience.
In our email marketing strategy, we send most of our promotional emails mid morning or early evening, this brings us the most consistent results.

There are a number of email marketing tools available, each with its own set of features. Some of the most popular email marketing tools include HubSpot, and ActiveCampaign .
Each email marketing tool has its own pros and cons, so it’s important to choose the right one for your needs.
Here are some things to consider when choosing an email marketing tool:
1. How easy is it to use?
You’ll want a tool that’s easy to set up and use, so you don’t waste time trying to figure it out.
2. What features does it offer?
Some email marketing tools have more features than others. Make sure the tool you choose has the features you need.
3. What is the price?
Email marketing tools can range in price from free to hundreds of dollars per month. Choose a tool that fits your budget.
4. How well does it integrate with other tools?
If you’re using other marketing or sales tools, you’ll want an email marketing tool that integrates well with them, or does it all. This will make your life easier and help you get the most out of your tools.
5. What are the reviews like?
Before choosing an email marketing tool, check out the reviews to see what other users think about it.
When it comes to email marketing, there is no one-size-fits-all solution. The best email marketing tool for you will depend on your specific needs.
Take the time to research different email marketing tools and find the one that’s right for you.

Email Marketing Metrics and KPIs
Email marketing metrics are the performance indicators that businesses use to measure the success of their email marketing campaigns.
These metrics can be used to track the number of email opens, clicks, unsubscribes, bounces, and complaints.
Some common email marketing KPIs include:
Open rate
The percentage of people who open an email out of the total number of people who received it.
Click-through Rate (CTR)
The percentage of people who click on a link in an email out of the total number of people who received it.
How to calculate your email CTR:
- Take the number of people that have clicked on a link in your email
- Divide that by the number of emails delivered
- Multiply that number by 100 to get a percentage
The percentage is your CTR – the higher the percentage obviously the higher your click-through rate is.
Click-To-Open Rate (CTOR)
The CTOR, is a very important metric to keep an eye on, because it lets you know, of the actual number of people who opened your email, how many actually followed through and clicked on one of your links in the email.
This is a more accurate assessment of how compelling your email copy is.
How to calculate your email CTOR:
- Take the number of people that have clicked on a link in your email
- Divide that by the number of emails opened
- Multiply that number by 100 to get a percentage
The percentage is your CTOR – the higher the percentage obviously the higher your click to open rate is.
Unsubscribe Rate
The percentage of people who unsubscribe from an email list after receiving one or more emails.
Bounce Rate
The percentage of email messages that could not be delivered to the recipient’s email address.
Hard bounces
Hard bounces are permanent email delivery errors.
- Basically the email address does not exist.
- The email service the recipient used is blocking them.
Soft bounces
Soft bounces are temporary email delivery errors.
- The recipient’s inbox is full.
- Email file size may be too large.
- The server may be down.
Spam Complaint Rate
The percentage of email recipients who mark an email message as spam.
Email marketing metrics can be used to track the effectiveness of an email campaign and identify areas for improvement.
By monitoring these metrics, your business can make adjustments to your email marketing strategy to improve results, sales and leads!
7 Email Marketing Strategies
Creating an email marketing strategy is key to success in email marketing.
By taking the time to plan and think through your email marketing strategy, you can make sure that your email campaigns are effective and achieve your desired results.
There are a few key things to keep in mind when creating your email marketing strategy:
Keep most emails short and sweet
No one wants to read a novel every time they get an email from you in their inbox. So keep most emails you send out short and sweet. Get to the point quickly and leave out any unnecessary details.
Check out this email I received today from Thrive Themes as a good example:
Subject: Make your opt-in forms work smarter
Email Copy:
Hey Richard,
Want to create irresistible product offers for your new leads?
Then you’ll need a way to collect key insights about each new subscriber through your opt-in gate.
Check out Christine’s new video post to see how you can do this with a very powerful form type:
Talk soon,
– Matt
P.S. We just released over 450 new opt-in form templates inside Thrive Leads…
… several of which are multiple-choice templates!
Watch Christine’s video to see several of the new designs now available in the Thrive Leads template library.
You can see by this email example, that there is not a lot of unnecessary words, it highlights the key points and has a really great call to action to get the reader to take an action.
Most of your promotional messages you send, should be wrote this way.
However, there are other types of long form emails you may send out, depending on your business type.
We send out from time to time “story telling emails,” these emails are much longer and are sent out with a different purpose, which is to build a relationship with the reader through relating to them through a story.
Story telling emails are meant to strike a chord in the reader – create an emotional response.
Every time we send out this type of email to our list, we get over a hundred replies, this gives us the opportunity to further build a dialog and relationship with our email subscribers – turn them into customers..
Use images sparingly
Too many images can make your email look cluttered and busy. Stick to one or two images maximum that highlight your main points or offering.
Testimonial images are great as well.
Use engaging subject lines
Your subject line is what will get people to open your email, so make it count! Try and keep it under 50 characters and use keywords that are likely to pique your reader’s interest.
Never use misleading subject lines that are an absolute lie. This will just get your emails marked as spam.
35% of email recipients open email based on the subject line alone.
Here are a few examples of engaging subject lines:
Write killer headlines in 2 minutes without thinking.
Lose Weight While You Sleep.
Earn $75,000 Yearly Repairing Cracked Windshields.
Write a Blockbuster in 30 Days.
How to triple your opt-ins in the next 30 days
How to eat more and still lose weight. (I like this lol)
How to start a 6 figure biz with NO risk!
Your email subscribers want to know “What’s in it for them?” Why should they open your email..?
The better you can relay this, the more people that will open your emails.
**Copy this and do not lose this, Here is the absolute magic formula, this changed our open rates big time!
End Result Customer Wants + Specific Period Of Time + Address The Objections
Now, do we use this formula every time we send an email?
No, as there are other types of email subject lines that work as well.
The how-to subject lines work great and get higher open rates usually, because it promises to reveal “how-to” achieve the benefit. It’s hard to write a bad how-to email subject line.
Simply join a mouthwatering benefit to the words “how to.”
Personalize your emails whenever possible.
Addressing your readers by name makes them feel like you’re speaking directly to them, which can increase the likelihood that they’ll read your email.
So always make sure on your forms to collect name and email address. Like this:

Segment your email list.
This ensures that you’re sending the most relevant information to each reader, which can make them more likely to engage with your email.
Almost all email marketing software you will use, has the ability to segment your list based on tagging, scoring, actions taken or custom fields.
This ensures your emails get sent to the right subscriber.
An example of email segmentation:
A customer is not going to get the same email as a lead who has never bought from you.
The new lead, you might offer a discount or limited offer as an enticement to purchase for the first time.
An existing customer may get an email with an upsell offer to a product or service they already bought, or get a complimenting product offer.
Also, People leave their online shopping carts without completing a purchase for a variety of reasons.
So this subscriber will get a different email yet, because it is proven that shopping cart abandonment emails sent within an hour boost conversions by 6.33%.
A/B test your emails.
This allows you to compare different versions of your email to see which one performs better. Try testing different subject lines, images, content, and call-to-actions to see what works best for your audience.
If you fail to split test, you will leave a lot of money on the table!
Keep an eye on your metrics.
Checking your email metrics will allow you to see how well your email campaigns are performing and make necessary adjustments accordingly.
We have discussed these metrics in detail through the last two sections you have read in this article..
So as a reminder we are saying it again, your metrics are everything..So know them!
- Open rates
- Click-through rates (CTRs)
- Click to open ratio (CTOR)
- Total email conversions
- Email-based bounce rate
- Spam score
- Subscribers
- Unsubscribers

If you know them, you can improve them!

FAQ’s
Is email marketing effective?
Yes, dollar for dollar spent on any marketing strategy, email marketing wins every time. It brings in the highest ROI as we discussed much earlier in this article.
I have personally been doing email marketing now for over 15 years, and it still dominates all other marketing that we do.
Email marketing builds repeat buyers, and nothing also can compete with that, as once you acquire a lead, they can be with you for years with no further cost.
When software company Adobe did a survey in 2019, on how much time people spend checking their email, here is what they found.
Now, since 2019 a lot has changed, and we are even more digital, and even more people work online, or use the internet in some way.
Email usage is only growing, and so is email marketing, so you bet it is effective!
Is email marketing inbound or outbound?
Both..
With Inbound email marketing you attracts leads and customers by creating valuable content and offers tailored to your audience.
Typically, inbound emails are sent to leads that have already expressed interest in your product or service or have subscribed to your email list through marketing that you have done.
Outbound email marketing involves reaching out to prospects who haven’t yet opted into communication with you.
By nature, outbound emails are unsolicited and can be considered ‘Cold Emails’, since it involves reaching out to an audience regardless of whether the audience sought you out or not.
The biggest difference between inbound and outbound email marketing is in how the leads were acquired.
Whereas inbound email marketing only targets customers who’ve expressed an interest in your product or service, outbound email marketing does not require recipients to opt-in to receiving emails.
Companies will acquire email lists and essentially “cold email” their audience with information.
Can I do email marketing without a website?
Yes, you can.
Most email marketing software or CRM’s have page builders that you can connect seamlessly to your email marketing campaign. There are many affiliate marketers and entrepreneurs that do not have their own personal websites.
They simply sign up to an email marketing platform like GetResponse, and use their email marketing tools, and landing page builder.
However, there are many benefits to having your own website, like having a professional domain level email address, which will increase deliverablity.
So we always recommend having your own website.
Is it legal to send marketing emails?
Absolutely!
Do you ever get marketing emails from Walmart, Amazon, Dell, Capital One or other email ads shoved in your inbox?
What is double opt-in in email marketing?
You can set up your email campaigns to be either single opt-in or double opt-in.
Single Opt-in
Users are added to your email campaign list right after they enter their email address and click “Subscribe.” They do not need to confirm the subscription with a confirmation email.
Double opt-in
Double opt-in requires the user to go and find the email confirmation from you in their email provider, and click on a link in it, to confirm their subscription to your newsletter.
We use both double and single opt-in in our marketing, all depending on the type of offer we are promoting.
Is Email Marketing Dead?
Email marketing is far from dead, and will never be dead, as long as people keep checking and reading their emails.
The online world is growing and changing at an extreme pace, as more and more businesses, employees and people in general come online.
There is even more potential from email marketing than there has ever been..As there are more people online than there has ever been.
After doing email marketing for many years between me and my son, the one thing that we do recognize that is changing, is the amount of competition is growing, so if your not doing email marketing, you will get left behind in the dust..
It is even more important to be doing it now, so if you have not got started with email marketing, there is no better time than now.
We really hope our guide on email marketing helps your business be much more effective and prosperous.
If you ever have any questions, don’t hesitate to post them in the comments section below or just say hello.
